How to Add a Real-Time Speaker Timer to Zoom & Microsoft Teams Meetings

Keep remote speakers, webinar panellists, and internal all-hands meetings strictly on time. Three easy methods to bring a real-time clock into Zoom and Teams.

1. The "Fullscreen Blindspot" in Virtual Calls

In virtual meetings and webinars, speakers don't have downstage confidence monitors sitting on a physical floor. Even worse, when they click "Share Screen" in Zoom or Teams, the slide deck covers their entire display—hiding Zoom's chat window, participant gallery, and system clock.

Sending a message in Zoom chat saying "You have 2 minutes left" fails because the speaker never sees the notification. You need an independent, glanceable timing display.

2. Method 1: The Phone / Tablet Stand (Recommended)

This is by far the cleanest, most reliable approach used by professional webinar producers:

1. Create your event room in Stage Countdown.
2. In the room controller, click Share and select the Stage Display (Viewer) URL.
3. Send this link (or show the QR code during the pre-event sound check) to your remote speaker.
4. The speaker props their phone or iPad up against their laptop screen or webcam.

Now, even while PowerPoint runs fullscreen on their main monitors, the speaker has a glowing high-contrast countdown timer right next to their camera lens—which also ensures great eye contact with the virtual audience!

3. Method 2: OBS Virtual Camera as a Meeting Participant

If you want the entire audience or panel to see the clock inside the meeting grid:

1. Open OBS Studio and add your Stage Countdown Overlay URL as a Browser Source (see our OBS Guide).
2. Click Start Virtual Camera in OBS.
3. In Zoom or Microsoft Teams, join the meeting from a secondary account (named e.g. ⏰ Show Timer) and select OBS Virtual Camera as the video source.
4. Pin or spotlight that participant tile so all attendees and panelists have immediate visibility.

4. Method 3: Dedicated Window Share for Intermissions

For webinar coffee breaks, hackathon pitch prep, or workshop breakout rooms:

  • Open Stage Countdown's Agenda View or Stage Display in a dedicated browser window.
  • In Zoom/Teams, choose Share Screen > Portion of Screen or Window and pick that browser.
  • Tick "Share computer sound" if you want Stage Countdown's soft chime alerts to announce when the session is resuming.

5. Best Practices for Virtual Town Halls & Hackathons

  • Test 15 minutes prior: Have the speaker open their Stage Countdown link on their mobile device during the green-room AV check.
  • Use Color Transitions: Enable Stage Countdown's amber warning cue at 2 minutes remaining so remote panelists naturally start summarizing without needing host prompts.
  • Keep Moderator in the Loop: Give your panel moderator the Moderator View link so they can see upcoming speaker run times and audience questions submitted live.
